Keep an appliance and property register
Record each property address, appliance make and model, fuel, service history and the relevant due dates. Keep boiler servicing separate from the landlord gas safety check: they serve different purposes and should be requested explicitly when arranging a combined visit.
Plan access before the deadline
Contact residents in good time through your established process and record the appointment arrangements. Leave room for rescheduling and follow-up work if a fault is found. An attempted appointment is not the same as a completed inspection, so track the actual outcome and seek appropriate advice about any unresolved access problem.
Store and provide the right records
Use current HSE guidance for the landlord gas safety duties that apply to your property. Keep the inspection record, service information and repair notes clearly labelled. Assign responsibility for sharing required records with tenants; booking a contractor does not automatically fulfil the landlord’s wider duties.
Review repairs between tenancies
A void period is an opportunity to group suitable plumbing repairs and planned improvements. Confirm utilities, access, the new tenancy date and approval limits before arranging the work. Do not postpone an urgent or safety-related issue simply to align it with a future service visit.
