Use one clear address and reference
Include the exact property, unit or building identifier, a unique job reference and the organisation placing the order. Where a package covers multiple properties, give each location its own work list and access note. Avoid mixing faults for different addresses in a single unstructured message.
Describe the task and the limits
Set out the reported symptoms, requested service and any previous investigation. Identify whether the request is for inspection only, a quotation or approved work. State the spending limit and who may authorise a variation; silence should not be treated as approval to extend the job.
Plan access and communication
Provide the agreed keyholder or resident contact through the proper booking channel, with relevant entry arrangements. Share only information needed to complete the visit. Identify who confirms the appointment, who is told about delays and any site induction or accompaniment requirements.
Define completion evidence in advance
Ask for the job notes, photographs and relevant certificates needed for the particular work. Different tasks produce different records. Set the return address, invoice reference and any deadline before attendance, then review outstanding recommendations separately from completed repairs.
